What is my schedule and where can I find it?
Schedules are developed by your Faculty Tutoring Coordinator (FTC) and posted near each lab's kiosk! Your FTC will notify you by email once schedules are finalized. If you aren't aware of your current assigned shifts or need to make any changes, please reach out to your FTC!
Is there a maximum number of hours I can work?
Yes! Per the ERAU Student Employment office, domestic students may work up to a combined 25 hours per week between all jobs, while international students may work up to 20 hours per week between all jobs! What should I do if I'm running late or need to call out?
In either of these events, please reach out to your lab's email group to communicate your absence. Ensure that dbaacadm@erau.edu is included in any communication! Keep in mind that it is your responsibility to find shift coverage! Even if it's months away, please reach out to find coverage ASAP!
Note: Be careful to email only your lab group!! DO NOT email the 2024 Tutors and Staff group, as it will go to every tutor from every lab! If you have questions on this, please see the Front Desk or any of the Graduate Assistants.
What if I want to pick up a shift?
If you are available to pick up shift coverage in your lab, "reply all" to the initial communication within your lab's email group to notify that coverage has been found. Again, ensure that dbaacadm@erau.edu is included in the email chain so we know to expect you!
Note: If the initial communication was accidentally sent to all 2024 Tutors and Staff, please only reply to your lab and dbaacadm@erau.edu!
I just arrived for my shift. What do I do?
When arriving for your shift, clock in at your lab's kiosk as soon as possible. This will help keep an accurate record of when you worked. Ensure that your name is written on the "Tutors On-Duty" board. Finally, attempt to sit with the students or in a visible spot within the lab and put on your red lanyard so students may easily identify you!
Note: If you do not have your lanyard or the kiosk is not working, please notify the Front Desk. If the kiosk continues to not work, please clock-in using the paper attendance form.
My lab is low on markers, erasers, etc. Where can I get more?
If your lab is low on any materials, feel free to let the Front Desk know. They will be more than happy to assist! At no time should any tutors or students help themselves to the storage room!
I didn't get to eat breakfast/lunch/dinner. Can I eat in the lab?
No food or drinks are allowed in the labs at any time, with the exception of water in a sealed container. If you would like to eat or drink, there is a break room at the end of the hallway, as well as outside seating and tables/chairs in the Residence Hall 3 lobby. There is a refrigerator in the break room that may be utilized at any time, so long as your name is written on the packaging. Feel free to use the microwave and Kureg in the break room, but please clean up after yourself, as this is a shared space.
Note: Please try to avoid eating during your shifts. If possible, plan to eat before or after your shifts. If this is unavoidable, or you work longer than 4 hours in one shift, please see any of the Graduate Assistants!
Can I change the thermostat to a temperature I feel most comfortable at?
Please DO NOT adjust thermostats in the labs. There is a note specifically stating to leave thermostats at 68 degrees Fahrenheit. If there are any issues with temperature, please inform our Graduate Assistants. Thank you!
Why do Front Desk staff walk through the labs periodically?
All AAC employees have a responsibility to ensure that the labs remain a clean and comfortable academic space, which includes our Front Desk staff completing "rounds". While making rounds, the Front Desk record attendance (both students and tutors) and checks that all equipment is in working order. This data validates our usage at our center. If there are any questions, comments, or concerns during a shift, staff rounds are a perfect time to communicate them!
During my shift in the lab there are people working at both the Front Desk and Graduate Assistant's office. Who should I approach for help?
For any smaller needs regarding lab equipment or shifts, please see the Front Desk. If there is something needing more specific attention, please see the Graduate Assistant. As a general rule, seek help from the Front Desk first! If they are unable to help, they may refer to the Graduate Assistants for more direction.
I have a big assignment due soon. Can I work on homework during my shift?
When you are on shift, your tutoring work is your first priority. If you find you are struggling with balancing work and homework, please speak to your Faculty Tutoring Coordinator about adjusting your schedule. It is allowable for tutors to complete homework during shifts as long as the following conditions are met:

How do I conduct an SI session? What will I need?

How will I find my SI schedule?
SI schedules are developed by your Faculty Tutoring Coordinator in conjunction with the respective department. For more information on SI schedules, please reach out to your FTC!
How can the AAC support me in preparing for SI sessions?
The Front Desk will be more than happy to ensure you have all of the materials necessary for your session. If you require any new markers, erasers, etc., please let the Front Desk know!
What should I do if the TracCloud Batch Visit isn't working?
Please take attendance on paper and include the student's full name and their ERAU EagleCard number. Scan/take a photo of the attendance and email to Dr. Mahmood (mahmoodh@erau.edu) as soon as possible. Paper attendance is better than no attendance!!!
How do I submit my timecard?
All timecards are submitted and approved through Workday. From the ERNIE home page, locate Workday under the "My Tools" section. You may need to select All Tools if it is not already listed. On the right side of the screen, select "Enter My Time" under Quick Tasks. Enter the appropriate amount of time worked under each date; ensure you leave a comment on each submission denoting your Lab(s) and shift(s) worked. If you are covering shifts for another tutor, ensure that it included in the comment section as well! An example is provided below:

When should I submit my timecard? When will I be paid?
Timecard submission and pay dates are regulated by the University's Payroll Office. Generally, timecards are due at 5PM every other Thursday, with the pay date being seven (7) days after the deadline. For a larger breakdown, including dates, see the 2026 Payroll Schedule. All tutors and staff will receive timecard reminders to their ERAU emails before the submission deadline! Keep an eye on your email for these reminders!
Note: Some timecards must be submitted early due to University holidays, inclement weather, etc. Please keep a eye on your email for communication regarding this! You may want to review the Student Employment website for more information!
I forgot what shifts I worked. What should I do?
There are numerous avenues to find which shifts you are scheduled/have worked.
1. Check your lab's posted schedule near the kiosk.
2. Keep a personal log of your hours worked, not hours scheduled.
3. Search your emails for shifts you dropped/picked up.
If you cannot find all worked shifts through the above methods, please email Jessica Chamberlin (chambej1@erau.edu) for your TracCloud record. This will show the shifts you clocked in for, and what you may ultimately submit on the timecard!
What is the AAC Tutor Training Program?
The Tutor Training Program at the AAC is a two-part process intended to introduce the fundamentals of tutoring and to encourage discovery of new tutoring methods! Part one of this program is a collection of five (5) mandatory online Canvas modules. Part two is an optional in-person training meant to tie those modules together. Although the second half is optional, it is highly encouraged! The purpose of the training program is to:
I'm already comfortable tutoring others. Do I really need to complete this training?
Yes, this training program is crucial to providing the highest quality of tutoring possible! Keep in mind, only the first half of the program is required, with the second half being strongly encouraged!
Note: The five (5) Canvas modules must be completed within the first semester of tutoring at the AAC. Failure to complete this may result in termination of employment!
What must be done to earn the CRLA certification?
To complete the first part of the training program, you must pass the five (5) online Canvas modules. Once you complete your hiring process, you will be invited to join the AAC's Canvas page. If you cannot access the course page, please see any of the Graduate Assistants immediately! Once you earn a passing grade on all modules, you may sign up for any of the in-person trainings. Tutors will receive email notification of these events, with posted flyers, throughout the semester! At the end of your in-person session, you will receive a copy of your certification! You may expect a pay wage increase following the completion of this program.
