Student Organizations Resources
March 2020
In response to recent communications from the University regarding the COVID-19, we are providing further clarification regarding Campus Events for Registered Student Organizations. All external and internal events currently scheduled on campus between now and April 6 are to be canceled.
As the campus will remain open with exceptions to certain facilities, updates will continue to be issued through email and theEmbry-Riddle’s COVID-19 website. Make sure to check theFAQon the website for additional information.
We encourage the student leaders for all organizations to be mindful and informed about how you best support your organizations. Here are some helpful tips:
1. Think of what is upcoming for your organization this semester:
Do you have elections? Interviews?
What meetings and events are coming up for your organizations?
Contact your medical provider if you have a fever, respiratory distress, and/or flu-like symptoms.
Avoid close contact with people who are sick.
Wash your hands often with soap and water for at least 20 seconds. If soap and water are not available, use an alcohol-based hand sanitizer.
Avoid touching your eyes, nose and mouth with unwashed hands.
Cough or sneeze into your elbow, shirt sleeve, or a tissue (not your hands). Throw used tissues into the trash.
Clean and disinfect frequently touched objects and surfaces.
Avoid sharing food, cups, utensils or other items.
Treat all bodily fluids as potentially infectious.
Eat a well-balanced diet, get adequate sleep and get a flu shot.
Social Distancing
Please note: The University is following social distancing practices until further notice. Social distancing means remaining out of congregational settings, avoiding mass gatherings, and maintaining distance (approximately 6 feet or 2 meters) from others whenever possible.
Campus Safety will be locking classrooms and conference rooms, so there will be limited access by necessity only.
1. Zoom – Video Conference
Using theZoom Online Meeting Platformis a good resources for accommodating members who may not be on campus or local
Zoom is a web-based conferencing platform that is accessible on MacOS, WIndows, iOS, and Android mobile devices. You can create virtual meetings that can be joined by anyone in the world with a simple link. Up to 100 people can participate in a Zoom meeting
There is a screen-sharing feature that would allow a powerpoint or documents to be displayed and discussed as well as a recording option if content would like to be recorded in advance and distributed to organization members.
Zoom may be helpful for: full organization meetings, committee meetings, interviews, one on one conversations, and more.
Skype is a telecommunications application that specializes in providing video chat and voice calls between computers, tablets, and mobile devices.
Skype allows users to create easy video meeting with no sign ups or downloads. Users can generate a free unique link with one click, share it with participants and enjoy effortless meetings with Skype. Full set of features at your disposal. See Skype Conferencewebpage for more information.
3. Skype – Instant Messaging
Skype Instant Messaging is a lightweight Skype web client that is available on outlook.com. Skype Web makes it easy to connect and collaborate with you team members instantly through Outlook.
You can send messages, pictures, files, and emoticons.
If meetings cannot be held remotely then they should be canceled.
CampusGroups has the ability to facilitate many things online that organizations may have initially scheduled for in person meetings during the next few weeks. The group tools and features available for organizations may be very helpful for this.

Forms of Communication
Group Feeds
We encourage group conversations by posting updates, photos, surveys, and more on topic-based discussion feeds.
Share with just certain groups.
Create custom feeds based on topics or interests.
Allow just a sub-set of your campus to access a given topic feed.
Feed can be accessed from the CampusGroups app.
One-on-One/ Group Chats - Connect with community members one-on-one or in a group chat for quick conversations and file-sharing.
Chat with anyone on campus on mobile and desktop.
Add more users and create a group discussion. Unlimited number of users can be added to a group discussion.
News/ Forum – CampusGroups also provides interactive modules,. Learn how to createBlog Postsin your group.

Create categories and assign posts to them.
Restrict access to posts to specific users.
Forum
Create sections and sub-categories.
Post articles, questions or requests or categories to specific users.
Allow users to comment and like posts.

Discuss with a SESU Staff member to determine the best path forward for your organization. Our office will be open during normal business hours 8am-5pm, Monday-Friday, in the Student Leadership Suite (SU 226) in the Student Union.
